Administrative Assistant

Growing Nashville PR firm is looking for a fast-paced, thorough individual for a part-time, non-client facing role who handles time-sensitive tasks, pressures and multiple demands with ease. This role is hands-on and would work closely with the agency’s president to handle administrative needs such scheduling, organizing and maintaining internal documents and processes, liaising with vendors, developing and logging meeting notes, data and processes, sourcing and ordering collateral, gifts and other company materials, compiling data for presentations and reports, and beyond. This role includes the opportunity for growth into a full-time role based on performance and business needs.  

Education, experience, and licensing requirements

Responsibilities include: 

  • Overseeing and managing administrative needs of the agency. 
  • Providing support to the team, handling projects with promptness, accuracy and exactness. 
  • Playing a significant role in project status reporting and implementing processes.
  • Working closely with the firm’s president on special projects.
  • Overseeing and reporting weekly, monthly, quarterly, and annual business metrics.
  • Establishing and maintaining professional relationships with clients, internal teams, and external vendors.
  • Working closely with the leadership team to ensure all operational, administrative, and compliance functions within the firm are being properly executed in accordance with best practices.
  • Other duties as assigned.
  • Associate’s or Bachelor’s degree in program management, business or public administration, finance/accounting, communications or related fields preferred 
  • Minimum of five (5) years of recent administrative experience
  • Experience may be considered equivalent if experience demonstrated increased depth and breadth of responsibility

  • Ability to handle administrative duties in a timely, comprehensive way
  • Ability to collect and log data and processes into an internal database, maintaining a precise file system 
  • Address operational concerns and issues and monitor overall client satisfaction
  • Analyze onboarding and training needs/requirements
  • Professional interpersonal communication and organizational skills to coordinate project activities
  • Ability to conduct research for special projects, respond to timely inquiries, and present written/oral updates

  • Is accessible, responsive and very detail-oriented

Hours and location

  • This is a part-time, remote role with periodic in-person team meetings. An initial set schedule of 5-15 hours/week will be determined in partnership with the candidate.

The Account Manager will play an integral role in telling our clients’ stories. Along with creativity, drive and self-motivation, the ideal candidate’s background and skills will include:

responsibilities

  • Serve as the day-to-day contact for assigned clients; organize and lead regular client meetings/calls
  • Garner coverage through media relations and media research (trade, local/regional and business media); build and nurture strong relationships with media contacts
  • Bachelor’s degree or equivalent, relevant business experience
  • 4-7 years of post-college PR agency experience; experience with professional services /B2B clients preferred
  • Outstanding written and verbal communication skills
  • Ability to take charge and work in a fast-moving, dynamic and team-oriented environment
  • Enthusiasm for our clients and our work
  • Client-focused & strategy-minded – anticipate client needs and continually develop ways to drive business forward
  • Ability to make decisions quickly and work with multiple clients simultaneously
  • Fast learner with an inquisitive mind and eye for detail
  • Some graphic design experience and familiarity with common platforms (Adobe Creative Cloud, Canva, etc.)

  • Work closely with senior management to provide strategic direction and insight related to account activities
  • Manage social media accounts (draft, schedule, post and analyze results)
